DBS checks can only be made for roles that are eligible for a check. The DBS has guidance for the Charity Sector to help you ask the right questions. These apply to both paid workers and volunteers.

The DBS offer an update service. You sign up to this when you have a new DBS certificate.
Once the DBS print your certificate you have 28 days to request joining the update service. This is a secure online area that lists any new disclosures. This update service along with your corresponding paper certificate is the most up to date information about any disclosures you may have. You must retain your paper certificate.
